 Position Description

The Project Administrator provides administrative support to both the Operations and Accounting teams in order to ensure the efficient delivery of engineering design projects. Primary responsibilities will involve data entry and reporting. This will include processing of expense reports, and reporting for project management, accounts receivable and accounts payable data entry. Additional responsibilities will include making field technician hotel reservations and other office administrative support tasks. Project Administrator must be able to communicate effectively in both oral and written forms. This individual works with immediate supervision.

 The Project Administrator will:

  • Processing electronically submitted expense reports and gathering, matching and recording associated credit card receipts
  • Timesheet collection and checking; Interpretation of billing/work codes, input of labor hours & helping with preparation of invoices.
  • Entering production, budget, and milestone/schedule data into a variety of databases, including Excel, and Intuit QuickBase
  • Generating reports based on this data and emailing them to Project Management
  • Entering invoices received from vendors into QuickBooks for payment by accounting
  • Updating staff schedules based on guidance from Project Management
  • Arranging hotel reservations for field technicians and designers
  • Act as the backup to the Office Admin by answering phones, handling shipping and providing general office administrative support as needed.
  • Handle Corporate Conference Call, including meeting minutes, tracking and reporting on attendance, and sending follow up emails
  • Complete other projects and duties as assigned

Requirements:

  • Experience in administrative support
  • Must be proficient in Microsoft Office
  • Must have dependable transportation and valid driver’s license and insurance
  • Must be able to pass a background check/drug test/driving record check
  • Must be authorized to work in the United States

Preferences/Skills:

  • Prefer a Bachelor’s Degree in a technical, business or communications related field
  • Exceptional database/computer skills Microsoft Excel and QuickBooks
  • Strong organizational skills, attention to detail and experience in file and document management
  • Professionalism; good oral and written communication skills
  • Demonstrate good judgment and problem solving skills

Pay is commensurate with experience and education.
